What happens when plans change — in plain numbers, so there's nothing to argue about later.
Last updated: 21 August 2026
The short version
- Cancel more than 24 hours before the event → full refund.
- Cancel within 24 hours, or don't turn up → no refund.
- We cancel or materially change the event → full refund, or move to another date. Your choice.
- Refunds land back on the card or account you paid from, normally within 5–7 working days of approval.
How to cancel
Sign in, open the booking from your account, and use Cancel booking. That frees your seat immediately so someone else can take it, which is the main reason we'd rather you cancelled than just not come.
If you can't get into your account, email hello@vibenestsocial.com from the address you booked with, with your ticket code.
Why the 24-hour line exists
Inside 24 hours we've already committed on your behalf — venue numbers, turf slots, food counts, host planning. Those costs don't come back to us, so we can't pass a refund back to you.
That said, life happens. If you're in a genuinely difficult spot — illness, an emergency, something outside your control — write to us. We'd rather sort it out case by case than hide behind a rule.
When we're the ones cancelling
If we cancel an event, or move it far enough that it's effectively a different plan, you choose: a full refund, or your spot on another date.
We'll contact you by email, and we'll process refunds without you having to ask.
What we can't cover is what you spent getting there — travel, taxis, or time off. That's set out in our Terms of Service.
Free events and waitlist spots
Nothing was charged, so there's nothing to refund. Please still cancel if you can't make it — a free seat you're not using is a seat someone else wanted.
A waitlist request isn't a booking and isn't charged. If a seat opens up we'll contact you before taking any payment.
How refunds are approved
Refunds are reviewed and released by a person on our team — they're not issued automatically the instant you tap cancel. That's deliberate: money leaving an account should be a decision someone is accountable for, not a side effect of a bug.
In practice that means your cancellation is recorded and your seat freed immediately, and the money is returned within 5–7 working days. It comes back to the original payment method — we can't redirect it elsewhere, which is a fraud protection, not an inconvenience we've chosen.
Once your bank has it, the timing is theirs; card refunds sometimes take a further cycle to appear on a statement.
Removals for conduct
If someone is removed from an event for breaching our Code of Conduct, their ticket isn't refunded. We're clear about this up front because it should never come as a surprise.
Still not right?
Email hello@vibenestsocial.com. We'll acknowledge within 2 working days and aim to close it out within 15 days. Please give us the chance to fix it before raising a dispute with your bank — it's almost always faster.
Come as you are. Leave with collaborators, clients and friends. The next gathering is waiting for you.
